A spare-part quote may only cover pieces such as an impeller, wear rings, or a mechanical seal. Comparing those numbers directly is like comparing the cost of fixing a truck versus buying a new one.
Start the decision by asking whether the current pump has enough life left to justify an overhaul. If it is old, has had multiple failures, or lacks spare part availability, the higher initial cost of a new Sulzer pump may be lower over five years. If the only problem is a worn mechanical seal, do not buy a whole new pump. That seems obvious, but I've seen purchase requests for full pumps when the actual failure was a misaligned coupling.

Step 4: Ask About Lead Time Before You Ask About Price
Pump buyers think of price as the main number. In a plant, lead time is a cost too. If the pump is down or the turnaround date is fixed, a $10,000 difference between two vendors can disappear in one day of lost production.
When you talk to a service center, ask these questions early:
- What is the current lead time for this exact scope? Don't accept the word "normal."
- What is the longest-lead component in the quote?
- Is the work done in Odessa, in Texas, or at a third-party machining center?
- Can you commit to a ship date in writing?
- What does expediting cost if we approve overtime?
I've often found that a quote from an authorized service center with a shorter lead time is the most economical. If a supplier has no stock and no confirmed schedule, their low price is not a low total cost.
Step 5: Verify Authorization, Parts, and Warranty

- performance test requirement and pump curve with test points
- start-up supervision, if needed
- ship date with a definition of delays
- warranty period and claim process

- Choosing the quickest quote process. A vendor who asks better questions is more likely to deliver a better pump.
- Assuming local means faster. Local doesn't help if the shop doesn't have access to drawings and parts.
- Accepting a test certificate without values. The certificate should show measured pump performance.
- Not writing warranty shipping terms. If you don't define who pays freight on failure, the pump cost is not final.
