The 7-Step Sulzer Equipment Ordering Checklist (And the $14,000 Mistake That Built It)

Let me start with the honest part: this checklist exists because I made expensive mistakes.

I've spent the last 11 years handling equipment orders at an EPC firm. Pumps, separators, mixers, spare parts—if it has a Sulzer nameplate, I've probably ordered one. I've also personally made (and documented) six significant mistakes that totaled roughly $14,000 in wasted budget and late delivery fees. The worst part? Every single one could have been caught before the purchase order went out.

This is the checklist I now keep next to my desk. Use it if you're in procurement, engineering, or maintenance and you're about to order Sulzer equipment or a replacement part. There are 7 steps, and the one that catches more buyers than any other is Step 5.

The Checklist

Step 1: Verify the model code, not the nameplate

Most buyers focus on the pump model and completely miss the suffix that defines the configuration. A Sulzer pump model code is a shorthand for a long list of choices—impeller diameter, casing material, flange rating, seal type, drain location. Back in 2017, I ordered a replacement pump based on the same model family as an existing unit. The number was identical except for one suffix. That suffix changed the flange rating from PN16 to PN40. The flange rework cost $890 and delayed a shutdown by three days.

The Sulzer logo on the nameplate tells you who built it. It doesn't tell you the configuration. If the original specification is from an older project, verify the serial number against the datasheet before you order.

Step 2: Check the wetted materials against the actual process fluid

This one is easy to skip because the pump looks fine on the outside. But the wetted parts—casing, impeller, shaft, seal—need to survive the actual fluid. I assumed 316L stainless steel would be fine for a service with trace chlorides. It wasn't. The pitting showed up in six weeks, and the pump had to be replaced. The replacement was not covered by warranty.

Ask for material certificates for the casing, impeller, shaft, and fasteners. Don't rely on the general statement “standard material.” If the process has chlorides, low pH, or abrasive particles, say it out loud and get the metallurgy in writing.

Step 3: Confirm the driver, coupling, and mounting interface

A pump might be complete but still not compatible with your motor. Check the shaft diameter, keyway dimensions, coupling bore, and mounting holes before you place the order. This is especially true when you're ordering a bare shaft pump to replace an existing unit.

In marine work, this step is non-negotiable. When I had to order a spare component for a Wärtsilä-Sulzer marine diesel engine (often typed as “Wartsila Sulzer” in search), the part number looked correct on the drawing. But the engine serial number told a different generation. $2,800 later, the part didn't fit. Robert, our senior engineer, pointed out the three-character code I had missed. That code is now on my checklist.

Step 4: Put the rotation direction in the purchase order

Centrifugal pumps have a preferred rotation direction. If the motor runs backwards, the pump may still move fluid—just inefficiently, and sometimes with damage. I know an electrician who wired a brand-new Sulzer process pump to run backwards because he followed the motor terminal box and never looked at the casing arrow. It survived, but it was close.

Write the rotation direction in the PO, on the datasheet, and on the test certificate. It takes ten seconds and prevents a whole category of commissioning problems.

Step 5: Look for what's missing from the scope of supply

Here's the step that gets ignored. The quoted price for a pump usually doesn't include the coupling guard, foundation bolts, gasket set, purge lines, or commissioning spares. The question everyone asks is, “What's the lead time?” The question they should ask is, “What's included in that lead time and price?”

I've compared purchase orders where adding the missing coupling guard and baseplate grouting kit made the “cheaper” quote more expensive than the next bidder. Nobody likes that surprise. Make a list of every small item you'll need for installation and confirm each one is in the scope.

Step 6: Decide the test protocol before the pump is built

Per API 610—the centrifugal pump standard for the petroleum, petrochemical, and natural gas industries—a pump built to that spec must pass a hydrostatic test and a mechanical run test. But a witnessed performance test is often an optional extra. If you need it, it has to be in the purchase order.

I once tried to add a witness test after the pump was already crated. The vendor said no. The client was not happy, and the pump still doesn't have the test signature they wanted. This is not a minor paperwork issue; it's an installation acceptance problem.

Step 7: Build your own paper trail

By the time the equipment ships, the serial number, datasheet, drawings, and certificates are all tied together. But unless your purchase order references the tag number from the P&ID, you're going to spend weeks reconciling after delivery.

Write the tag number on every document. Keep a folder with the PO, datasheet, material certificates, drawings, and photos. If you have access to the vendor's customer portal, register the equipment immediately. This is the step that makes everything else useful.

What I Still See Go Wrong

I went back and forth between OEM parts and aftermarket for two weeks on a Sulzer mixer. OEM offered traceability and the original test report; aftermarket saved about 30%. In the end, I chose OEM because our client's integrity system required the full paper trail. There's no universal right answer, but know which side your project is on before you order.

The common thread is assumption. I assumed “same model” meant same configuration. I assumed “standard material” meant appropriate for the process. I assumed the part number alone was enough for a Wärtsilä-Sulzer marine diesel engine. Every one of those assumptions was wrong.

Five minutes of verification beats five days of correction. That's not a slogan; it's arithmetic. An afternoon spent working through this checklist is still far cheaper than the $14,000 I spent learning it the hard way.
