When This Checklist Will Save Your Budget
If you're in the market for sulzer water treatment and disinfection equipment—whether it's a new installation for an EPC project or a replacement for a plant upgrade—this list is for you. Specifically, if you're the person signing the purchase order or approving the capital request.
Over the past 6 years of tracking every invoice related to our process equipment, I've learned that the sticker price on a sulzer pump or mixer is rarely the final number. I've been burned by assumptions. I've paid for things I thought were included. This checklist is the result of those mistakes.
Here are the 5 traps I now check for every single time.
Step 1: Check for the 'Black Box' Integration Fee
The trap: You price out the main unit—say, a sulzer disinfection skid—but the quote assumes it's plug-and-play with your existing controls. It rarely is.
I knew I should ask for a full interface scope, but thought, 'It's standardized equipment, what could go wrong?' Well, that was the one time our older PLC needed a custom gateway module. That module? Not in the quote. It added $4,200 and two weeks to the schedule.
What to do: In the RFP stage, confirm with the Sulzer sales engineer: 'What is the exact scope of controls integration? Does this include the DCS interface or just the cabinet wiring?' Get their answer in writing. Then, ask your electrical team to review it. It costs nothing to look but can save a lot.
Step 2: Verify Spare Parts Availability (That You'll Actually Need)
The trap: The sales rep says 'global service network, standard parts.' They mean OEM parts from Sulzer. They don't mean parts you can get next-day from a local distributor.
We didn't have a formal spare parts process for new equipment. Cost us when a critical seal on a sulzer mixer failed on a Saturday. The replacement had to be air-freighted from a regional hub because the local warehouse didn't stock that specific kit. Overnight shipping plus the emergency handling fee tripled the part cost.
What to do: Before signing, request a recommended spare parts list for the first two years. Ask point-blank: 'Which of these parts are stocked in our regional Sulzer depot, and which are special order?' If you can't get an acceptable lead time on the top-5 wear items, think about negotiating a consignment stock agreement for those parts. It's a small inventory cost against a potential production line shutdown.
Step 3: Question the Standard 'Installation and Commissioning' Scope
The trap: The proposal includes 'standard installation and commissioning.' It sounds comprehensive. Standard is usually not enough for a complex integration.
The surprise wasn't the equipment price. It was how much hidden value came with the more expensive service package—the one we skipped. Our 'standard' scope turned out to mean 'supervise the installation of the equipment skid.' It did not include: pipe alignment, electrical termination between the skid and your plant's main panel, or commissioning integration software tests. Those were all 'extra.'
What to do: Ask for a written definition of 'commissioning.' Does it include:
- Full functional testing with your process water or chemicals?
- Integration testing with your SCADA or DCS system?
- On-site operator training for your shift team?
If the answer to any of these is 'no,' you need to negotiate for it, or budget for a third-party specialist to fill the gap.
Step 4: Audit the Project Management and Documentation Costs
The trap: You compare equipment quotes from Sulzer and another vendor. They look similar in price. You miss that one includes project management and the other treats it as billable hours.
After comparing 4 vendors over 2 months using my TCO spreadsheet, I almost chose a lower initial bid. Then I calculated the total. Vendor A (our choice) included a dedicated project manager, progress meetings, and a complete data book (O&M manuals, P&IDs, as-builts) in their base price. Vendor B's lower quote had line items for 'PM support' and 'documentation preparation.' That alone clawed back the price difference. Plus, the time my engineers spent chasing documents from Vendor B would have cost us more in internal hours.
What to do: Ask for a complete scope of supply document. Not just hardware, but services: project management, inspection and test plans (ITPs), documentation (O&M manuals, as-built drawings, test certificates), and any software licenses. Treat these as line items in your comparison.
Step 5: Verify the Performance Guarantee Testing Conditions
The trap: The quote guarantees '98% removal efficiency' or 'X kW/m3 mixing energy.' But what are the test conditions? They might not match your actual site conditions.
I have mixed feelings about performance guarantees. On one hand, they are supposed to protect you. On the other, I've had a vendor claim we didn't meet the 'standard test conditions' for the guarantee when our effluent temperature was higher than their lab test. The 'failure' was ours, contractually. That resulted in a $1,200 re-test and a downgrade in our expected performance.
What to do: When you review the guarantee clause, look for the 'reference conditions.' Are they specifying a temperature, a water chemistry profile, a specific particle size distribution? Compare this to your actual, worst-case site conditions. If there's a mismatch, request a project-specific guarantee test. It's better to know at the factory acceptance test than after installation.
Bottom Line: The 'Price' Is Just the Start
Look, I'm not saying Sulzer's equipment isn't worth the price. In my experience, it's generally reliable and well-supported. But the procurement process is about the total cost to get that equipment operational and performing in your specific plant. These five checks have saved me from overshooting our budget and from the panic of an unplanned shutdown. Now they're a routine part of my project workflow. Period.
